How Zones and Check-In/Check-Out Work Together

This article explains how zones and the check-in/check-out process work together within your visitor or employee management system.

What Are Zones?

Zones represent different areas or departments within your organisation.
Each zone functions independently, with its own check-in and check-out process.

This means that when someone moves from one zone to another, the system sees this as two separate visits.

Moving Between Zones

When a person wants to move from one zone to another, they should follow these steps:

  1. βœ… Check out in the zone where they originally checked in.

  2. πŸšͺ Check in again in the new zone.

  3. πŸ” Check out once more when leaving that zone.

This process ensures that your visitor or employee list always reflects who is in which location at any moment.

Multiple Devices per Zone

If you have multiple iPads in one area, you have two configuration options:

Option 1 β€” Separate Zones (Recommended)

Each device is linked to its own zone.

  • βœ”οΈ Advantage: You can clearly see who checked in and out of each specific location.

  • ⚠️ Note: Users must check out before moving to another zone.

Option 2 β€” Shared Zone

Devices are linked to one single zone.

  • πŸ’‘ Advantage: Visitors can check in or out on any device β€” easier and more flexible.

  • 🚫 Disadvantage: The system no longer distinguishes between zones, so you can’t see exactly where the check-in occurred (e.g., Reception vs. Technical Department).
