What Happens When a Role Expires?

Why Can Roles Expire?

Every role is made up of one or more tasks — and some of those tasks have a validity period. For example:

  • 🧯 Safety Instruction Video → must be renewed every 12 months

  • 🪪 ID Documentation → must be resubmitted every 24 months

When a task reaches its expiry date, the linked role becomes inactive until the user completes the required task(s) again.

How are users notified of upcoming expiries?

Don’t worry — the system automatically keeps users informed!
Users receive email reminders before their role expires:

  • 14 days before expiry

  • 7 days before expiry

  • 1 day before expiry

Each email includes a direct link to redo the expiring task(s) quickly and easily.

Where can users complete expiring tasks?

  • Online Portal – Expired or soon-to-expire tasks appear automatically in the user’s task list.

  • Mobile Application – The same tasks are visible and can be completed directly in the app.

What happens if a user does not complete the tasks?

If users don’t complete their tasks before expiry:

  • 🚫 Their role becomes invalid

  • 🔒 This may affect access rights, zone entry, or event participation

  • ✅ The role will be reactivated automatically once all required tasks are done.

What should admins do?

As an Admin, you can help keep everything running smoothly:

  • Monitor expiring roles in the portal to ensure compliance

  • Follow up with users who haven’t completed their tasks

  • Review & adjust validity periods as needed (e.g., yearly vs. bi-yearly)
