How to Use the Check-In Application

The Check-In application supports multiple modes to handle different check-in flows.

Within the NineID application, you can choose between two main modes, which together support a total of three different check-in processes.

Once the application has been successfully coupled to your environment (tablet setup complete) and opened, you can select the desired mode to match your use case.

QR-Code and Ad-Hoc Registration

The Check-in application allows users to register their presence on-site in two ways:

  • By scanning a QR code (pre-registered users)

  • By performing an ad-hoc registration (walk-in users without prior registration)

QR-Code Registration

If the tablet is in Check-in mode, users can register with their QR code:

  1. Select Scan your QR code on the tablet.

  2. The tablet’s camera will activate.

  3. Hold the QR code in front of the camera to complete the check-in.

✅ Checked-in

This screen confirms that the user has successfully checked in.

  • All necessary criteria are met (user’s role, company, and event alignment).

  • The user is now officially registered as present on-site.

✅ Checked-out

This screen confirms that the user has successfully checked out.

  • All requirements are still valid, and the user has been logged out of the site.

⚠️ If a user does not see these confirmation screens, an error may have occurred.

Ad-Hoc Registration (No Code)

If a user arrives on-site without a pre-registration or QR code:

  1. Select I have no code on the tablet.

  2. Choose whether to Check In or Check Out.

Ad-Hoc Check-In

If the user selects Check In, the following steps are required:

  1. User creation: A new user record must be created in the platform.

  2. Role selection: If multiple roles are available, select the correct one.

  3. Contact person: Start typing to find and select the host who should be notified.

  4. Reason for visit: Provide a visit reason (used as the event title).

    • Only one event type can be linked to ad-hoc registrations (predefined in setup).

    • The event is created for the time of registration + 12 hours.

  5. Complete tasks: All role-specific tasks will appear sequentially.

  6. Successful completion:

    • The user is checked in.

    • The host is notified by email.

    • The user can print an access badge (if a printer is connected) or close the registration.

⚠️ Important Notes:

  • A mobile phone number is mandatory for safety reasons, allowing admins to contact ad-hoc users if needed.

  • If an email address is provided during registration:

    • The user receives a system email with a QR code.

    • This QR code can later be used for check-out.

Ad-Hoc Check-Out

If the user selects Check Out:

  1. Enter the mobile phone number used during ad-hoc check-in.

  2. If a valid event and user are found, the user is checked out successfully.

Onboarding

Onboarding Mode allows registered users to complete any open tasks directly on-site.

This mode is especially useful in situations where users are pre-created in the system but not invited in advance. In such cases, users can come to the site, receive a magic code, and complete all required tasks before their role becomes valid.

How it Works

  1. When a device is placed in Onboarding Mode, the onboarding screen is displayed.

  2. The user enters their magic code.

  3. The system shows a list of all open tasks that must be completed.

  4. Once all tasks are completed, the user’s assigned role becomes valid.

⚠️ Important Note: Completing the onboarding process does not automatically check the user in. A separate check-in step is required.
