How to create an event type

What is an Event Type?

An event type is a category that is used when creating events. It provides a descriptive name that defines the nature or purpose of the event.

Examples of event types include:

  • Day Visit

  • Company Workshop

  • Maintenance Activity

To create a new event type and define its properties, requirements, and timing, follow these steps:

  1. From the main menu on the left, navigate to Configuration and then select Event Types.

  2. In the top-right corner, click Add Event Type. This will open a new page with five tabs: General, Requirements, Site Access, Permissions, and Timing.


1. General Tab

This tab is where you define the basic attributes of the event type.

  • Type Name: Enter a descriptive name for the event type (ex. Day Visit, Company Workshop)

  • Form: Assign a form to be used to manage the event's properties. (see here for more information)

  • Archival Period: Set a period after which the event will be automatically archived. You can specify the duration in Years, Months, or Days starting from the event's finish time.

  • Enable Project Management: Check this box to enable the project management tools for this type of event.

  • Expiry Warning: Check this box to send a warning email to the event admin when the event is about to expire.

2. Requirements Tab

This tab defines the tasks and requirements that must be met for the event.

  • Tasks: Select specific tasks that will be automatically assigned to this event type.

  • Requirements: Select the requirements that must be met for an event of this type to be considered valid.

3. Site Access Tab

This tab controls how users gain access to the event.

  • Access Management: Choose between User-based or Company-based access.

    • User-based access requires you to manage access for each individual user.

    • Company-based access grants all users from a selected company access to the event.

  • Allow Subcontracting: Enable this if you want to allow the use of the subcontractor management tools for this event type.

4. Permissions Tab

This tab allows you to define user roles associated with the event type.

  • Delegated Roles: Select the roles that can be assigned to users of this event type.

  • Permitted Roles: Select the roles that are allowed to use and interact with this event type.

5. Timing Tab

This tab allows you to set default and maximum durations for the event.

  • Enable Time Selection: Check this box to allow time selection fields to be shown.

  • Default Start Now: If checked, the event's start time will be set to the current time upon creation.

  • Default Start/Duration (hours/days): Set a default start time and duration for the event.

  • Max Duration (days/hours): Set a maximum duration for the event. Any default duration will be ignored if it exceeds this maximum value.

Once you have configured all the settings, click the Save button in the top-right corner to finalize the new event type.
