What is a Company?
A company in NineID is a logical grouping of users that helps simplify management and assign responsibilities. Companies can be grouped based on role, department, or other parameters.
Examples:
By role: Visitors, employees, security agents
By department: All employees of a specific division within a company
Companies can also be assigned a Company Administrator, who manages the company’s users and details on behalf of the Site Administrator, within the limitations set during setup.
💡 Tip: Before setting up companies in your environment, carefully review your processes. Decide how companies will be used and whether certain companies should be managed independently. This ensures efficient and accurate configuration.
Navigating and Filtering the Company List
The Company overview displays all companies in a table view, with several navigation and filtering options.
Company List Views
Switch between lists of companies using the tabs at the top left:
Active → Companies currently active.
In Review → Companies awaiting approval or validation.
Archived → Companies that are no longer active.
Blocked → Companies that have been blocked.
Filtering Companies
You can apply filters to refine the list:
Use the Filter Types field to select company types.
Use the Filter Company Statuses dropdown to select statuses such as All, In Review, Pending, Accepted, Expired, or Expiry Warning.
Adding a New Company
To create a new company:
Click + Add Company in the top-right corner.
The Add Company form will appear.
Fill in the required fields:
Name
Type (dropdown selection)
Company Owner Emails (one or more email addresses)
If the company type requires VAT validation, the VAT number field becomes mandatory:
✅ If the VAT number is found in the VIES database, details are autofilled.
❌ If not found, enter the data manually. The company will then be marked In Review and require admin approval.
Click SAVE to create the company, or X to cancel.
Viewing Company Details
To view a company’s details, click on its row in the list. The Company Detail Page will open, with the following tabs:
Users → Lists all users associated with the company.
Documents → Displays uploaded documents (filter by Active or All).
Tasks → Shows all active tasks.
Approvals → Displays approval history.
Events → Lists events linked to the company.
Logs → Provides an audit trail of actions (date, actor, action type).
Editing Company Information
To edit a company’s details:
From the Company Detail Page, click Edit Company in the top-right corner.
The Edit Company form will open.
Modify the fields as needed, including:
Name, Description, Type
Extra delegated roles
VAT Number, Legal Name
Address, Postal Code, Place, Country
Click SAVE to apply changes, or X to exit without saving.
Extra Options
Next to the Edit Company button, you’ll find a menu with additional options:
Archive Company → Removes the company from the list (soft delete).
Mark for Review → Temporarily blocks the company until further validation.
Block Company → Blocking a company immediately revokes all access rights for that company and its associated users. Additionally, the company’s VAT number will be added to the blocklist to prevent re-registration using the same VAT number.
When selecting Block Company, a dialog box appears where you must provide:
Reason* → Enter the reason why the company is being blocked (mandatory).
Blocked Until → Optionally, set an end date for the block. If no date is provided, the block remains in place until it is manually lifted.
